We are seeking an experienced and highly organised Project Administrator to support our team across a core group of key clients. Working closely with our Key Account Manager, Project Managers, Engineers, site teams, and customers, you will play a vital role in ensuring smooth, compliant, and efficient project delivery from start to finish.

This is a dynamic, fast‑paced environment where accuracy, initiative, and strong communication skills are essential. Experience within the Electronic Security industry will be viewed favourably.

About the Role

As a Project Administrator, you will support the project management team across all phases of project delivery. Your work will ensure compliance, accuracy, and seamless coordination between internal teams, subcontractors, suppliers, and key stakeholders. You will be responsible for maintaining project documentation, supporting financial controls, and assisting with operational processes to help deliver projects on time and to a high standard.

Key Responsibilities
  • Assist the project management team to meet all administrative, safety, quality, contractual, and compliance requirements.

  • Support the setup of projects and minor works in the operational system, including raising invoices, purchase orders, and other project-related documentation.

  • Ensure job lines are accurately created and maintained to reflect project pricing, costs, and variations.

  • Collate, organise, and upload all relevant project documentation—such as purchase orders, contracts, variation registers, QA documentation, and completion documentation—ensuring alignment with project value and cost structures.

  • Work collaboratively with Project Managers and stakeholders to manage supplier and subcontractor costs and identify opportunities for cost efficiencies.

  • Schedule and coordinate regular project meetings, including preparing agendas and recording decisions, assigned tasks, and next steps.

  • Conduct risk analyses and proactively present findings to stakeholders.

  • Prepare and distribute documentation to internal teams and key stakeholders.

  • Retrieve and compile information such as client requirements, case studies, and supporting materials as needed.
